Governance, privacy and acceptable use

Track teams. Be open about it.

OutTrack supports expedition teams and their tracking devices. It is not a participant-profile system and must not be used for covert or unauthorised tracking.

Our operating boundary

Teams, not participant profiles

Do not enter participant names, dates of birth, medical details or participant-specific emergency records into team names, notes or other free-text fields.

Support, not a replacement

OutTrack does not replace supervision, emergency plans, safeguarding arrangements or reliable alternative communications.

Controlled access

Use individual named accounts. Protect live and historical location information and give people only the access needed for their role.

Customer responsibilities

Be transparent

Tell affected people that team tracking is in use and provide appropriate privacy information.

Establish lawful use

Your organisation is responsible for identifying and documenting the lawful basis applying to its use of personal data and location information.

Use appropriate names

Do not identify participants through team names, device names, notes or other free-text content.

Stop when the activity ends

End tracking when no longer required and follow your organisation's retention and deletion arrangements.

Unacceptable use

Do not use OutTrack for covert tracking, stalking, harassment, unlawful monitoring, unauthorised access, account sharing, bypassing access controls or entering unnecessary participant information.

Service action

Access may be restricted or suspended for misuse, suspected compromise, security risk, unlawful activity or material breach.

This describes the OutTrack product and operating boundary. It is not a substitute for your organisation's privacy notice, lawful-basis assessment, safeguarding procedures or legal advice.
